1. Purpose

These terms govern the photo booth rental offered by TosanProductions (Photobooth Memories).

2. Packages, prices and duration

The applicable packages and prices are those shown on the website: Digital Memories 199 €, Print Essentials 299 €, Unlimited Experience 399 €, Photobooth On-Site 599 €. All prices include VAT.

For packages that include a photo booth, the rental covers the full duration of the event. A supplement may apply when the event runs over several days.

The Photobooth On-Site package does not include a booth: it is a service delivered by a professional photographer and an assistant, present on site for 3 hours, with a mini photo studio set up on location, unlimited printing during the session, and photo selection and retouching done on site.

3. Booking and deposit

A deposit of 50 % is required to definitively confirm the booking. When the event takes place in less than a month, payment of 100 % of the amount is required at booking.

4. Payment

The balance must be paid at the latest 7 days before the event, mainly by bank transfer.

5. Delivery, setup and collection

Delivery, setup and collection are included and free within a radius of 15 km around Nivelles, measured as the crow flies.

When the venue lies outside that area, travel costs are calculated on the total road distance between Nivelles and the venue, counted from the first kilometre, at 0,5 € incl. VAT per kilometre and per trip, for 2 trips (there and back).

The price calculator on the website gives an estimate of those costs. The exact amount is communicated before the booking is confirmed.

6. Keychain Experience option

The Keychain Experience option includes an operator dedicated to making personalised keychains at the venue, along with the equipment and all necessary consumables. It comes in tiers: 50 keychains for 199 € (operator on site for up to 2 h), 100 keychains for 299 € (operator on site for up to 3 h), 150 keychains for 399 € (operator on site for up to 4 h), 200 keychains for 499 € (operator on site for up to 5 h).

The client books a duration of operator presence, together with a maximum stock of keychains. The operator makes the keychains on site during that period. The service ends at the end of that period, even if the maximum stock has not been fully used. No refund is due for keychains not produced, and nothing is produced after the event.

The prints needed to make the keychains are included in the option and are not deducted from the number of prints in the main package. The presence time of the Keychain Experience operator is independent of the photo booth rental period.

The option is not available with the Digital Memories package, which does not include an on-site printer. With the Photobooth On-Site package, the Keychain operator comes in addition to the photographer and the assistant.

7. Cancellation and refund

• If cancelled more than 30 days before the event, the booking deposit is retained.
• If cancelled less than 30 days before the event, the full rental amount remains due.
• If we cancel, all amounts already paid are refunded in full.

8. Liability and use of the equipment

The client is responsible for the photo booth and its accessories between setup and collection of the equipment.

A deposit of €250 is requested at setup. It is returned after the equipment has been checked, provided no damage or missing item is found.

Repair or replacement costs resulting from misuse, a fall, an unauthorised move or damage caused by the client or their guests are borne by the client.

9. Applicable law

Belgian law. Any dispute falls under the competent courts.
